Method 1 — ScanSheet PWA (recommended for most teams)
ScanSheet runs in a browser. Open it on a laptop, scan a QR code with your phone, and the phone becomes a wireless scanner. Each scan lands in the laptop table in under a second. Export to CSV or XLSX when done — the file opens in Excel just like the sheet you are replacing.

Method 2 — Mobile app (Barcodes to Sheet)

The advantage: fully mobile, fully offline, no second device. The disadvantage: no live desktop view, no inline editing, no multi-user. If your workflow is one person scanning alone, this is the simplest path.
Method 3 — USB scanner + Excel (no software change)
Buy a USB barcode scanner ($50–$150 on Amazon), plug it into your laptop, open the same Excel sheet you already use, and start scanning. The scanner types each barcode into the active cell, then presses Enter. You move to the next row and scan again.
The advantage: zero workflow change. The Excel sheet stays exactly as it is. The disadvantage: the scanner is wired to the laptop, so you bring products to the scanner, not the scanner to the products. This works for receiving-desk workflows but not for walking the warehouse.
Method 4 — Browser extension (Scan to Web Sheet)
Scan to Web Sheet is a Chrome extension that sends scans from a phone or USB scanner to a Google Sheet via webhook. You keep the spreadsheet (Google Sheets instead of Excel), the extension handles the routing.
The advantage: scans land in Google Sheets in real time, no export step. The disadvantage: requires Chrome, requires a Google account, and every scan passes through Google's servers.
How to migrate from your existing Excel sheet
- Export your current Excel sheet as CSV with columns: barcode, quantity, note. Save it as inventory_baseline.csv.
- Open ScanSheet in a browser. Click Import CSV and select inventory_baseline.csv. ScanSheet imports the rows and merges duplicates.
- Verify the import: row count should match your Excel sheet, quantities should match, notes should be intact.
- Going forward, do new counts in ScanSheet. At the end of each count, export CSV and combine with the baseline in Excel or Google Sheets using VLOOKUP.
- After 2–3 cycles, retire the Excel sheet. The ScanSheet export becomes the new source of truth.

Common migration pitfalls
- Not cleaning the Excel sheet before import — typos in the baseline propagate to the new tool. Deduplicate and standardize barcodes first.
